What is the Energy Operations Agent from Lumenaza?

The Energy Operations Agent is a new module of the Lumenaza SaaS platform. It supports energy utilities and direct marketers in automatically processing recurring clearing procedures in onboarding and market communication (MaKo).

It monitors relevant MaKo processes and automatically identifies cases that require additional clarification. Responses from market partners are reliably filtered and segmented by AI-assisted algorithms before the tool initiates automated processing steps. Instead of operational teams having to manually identify and handle every case, the Agent takes over recurring steps automatically.

These include, among others:

  • AI-assisted detection of open MaKo cases

  • Monitoring of response deadlines

  • Automated outreach to market partners

  • Dispatching of reminders and escalations

  • Follow-up on feedback

  • Documentation of all processing steps

The goal is not to replace existing MaKo processes. The Agent complements them by adding automated communication steps for situations that fall outside standard workflows.

How does the Energy Operations Agent work?

As soon as a process cannot proceed as expected, the Energy Operations Agent initiates the appropriate clarification steps using various automation tools.

An example: To initiate a change of supplier, specific customer master data is required. If this data does not arrive within the specified deadline, the Agent automatically recognizes the case.

It can then:

  • Send reminders

  • Inform affected market partners

  • Prepare escalations: first addressed to the managing director, later to the Federal Network Agency (Bundesnetzagentur)

  • Continue tracking the status

As soon as the required information becomes available, the Agent automatically routes the case back into the regular process. This significantly reduces manual tasks and processing times.

Which processes does the Agent support?

The Operations Agent was initially developed for typical challenges in customer onboarding.

Today, it supports, among other things:

  • Supplier Switching (Lieferantenwechsel):

If necessary feedback is missing, delayed, or incomplete, the application ensures structured follow-up.

  • Master Data Management:

Delayed or incomplete master data is among the most common causes of process delays.

  • Market Communication (MaKo):

The Agent monitors deadlines, documents communication activities, and assists with escalations.

  • Billing-Relevant Data Processes:

Missing meter readings or time series data can also be identified and followed up on automatically.

What are the benefits for energy utilities?

  • Lower Cost-to-Serve: Recurring disruptions are processed automatically. Operational teams need to intervene manually less often.

  • Faster Process Lead Times: Open cases are detected earlier and systematically pursued.

  • More Stable Onboarding Processes: Issues can be identified and addressed during onboarding before they cause delays.

  • Cash-Flow Optimization: Billing-relevant data becomes available faster due to accelerated processing. Invoices can be issued sooner, improving liquidity.

  • Higher Process Quality: Communication steps are transparently documented and handled in a standardized manner.

  • Better Scalability: Growing customer numbers do not automatically lead to proportionally increasing operational workloads.

Real-World Operations as the Starting Point for Developing the New Software Solution

The idea for the Energy Operations Agent emerged from the daily work of the operations and product teams at Lumenaza. A major catalyst was the introduction of the accelerated supplier switching process (LFW24) in June 2025. Due to the new deadlines and modified procedures, specific delays and problematic coordination processes occurred much more frequently and became more visible.

Stanislav Shevliakov explains that Lumenaza addressed these changes early on and specifically developed the corresponding workflows using the Energy Operations Agent: “In the past, our colleagues processed such cases manually and contacted market partners via email. Following LFW24, these cases became significantly more frequent. That’s why we started automating precisely these steps.”

Together, product management and operations analyzed the most common causes of clearing cases and used them to design automated workflows. Today, the Energy Operations Agent embeds this practical expertise directly into the Lumenaza platform.

Lumenaza’s years of experience in the energy sector and software development provided the ideal foundation for creating a practical and impactful software solution.

Reducing Bottlenecks in Market Communication

According to Raphael Lukowicz, the goal was not to build an application that merely reflects the standard, but rather a more advanced solution that delivers practical answers to market challenges and actually works: “Lumenaza’s Energy Operations Agent was created out of a clear market insight: The energy market needs software that is not only standard-compliant, but resilient—capable of handling the peculiarities and challenges of real-world operations.”

The Energy Operations Agent helps energy suppliers efficiently handle critical disruptions. It automatically detects open cases, supports communication with market partners, and routes processes back into the regular workflow faster.

The results are lower operational workloads, more stable processes, and higher scalability within the Lumenaza SaaS platform. Christian Walter, Team Lead Operations, offers an initial review from ongoing operations with the new solution: “The Energy Operations Agent saves us time and is therefore a real economic factor. Automating processes that were previously handled manually is an important step for us and our customers.”
